Responsibilties:
President:
The President is the Chief Executive Officer of the ESO. As such, the President is responsible for the efficient and effective coordination of activities within the Board and its committees, and for ensuring that the ESO is accurately and positively regarded by the community that it serves and the sources of support on which it depends. The duties can be classified into several categories:
Administrative:
- Create and distribute a written agenda approximately three to five days prior to the monthly Board meeting
- Conduct Board meetings in an efficient manner, invoking rules of order as appropriate
- Review Board meeting minutes prior to distribution
- Keep self knowledgeable of overall activities of the organization
Executive:
- Serve on the Nominating and Strategic Planning committees
- Appoint, monitor and advise Committee Chairpersons
- Serve as Board’s primary liaison with Music Director
- Create and convene ad hoc work groups as required to deal with specific needs
- With assistance from other Board members as appropriate, conduct annual review of Music Director
- Signatory on all checks
- Negotiate and approve all contracts with venues, soloists, etc.
Leadership:
- Represent and promote the ESO and its mission to its core constituencies
- Communicate vision and mission of Board to players
- Coach Board members and strive to have all Board members participate in the work of the ESO
- Monitor, identify and deal with morale issues on the Board and within the ranks of the players
- Set positive example via visible personal involvement and financial support of the ESO
- Be willing, and have the capability to, accept and respond to emails and phone messages in a timely manner, typically within 24 hours, when pressing ESO issues indicate need for immediate action and decision-making
Vice President
- Perform all duties and exercise all powers of the President when the President is absent or is otherwise unable to act;
- Communicate personal schedules well in advance so as to minimize occasions when neither the President nor Vice President can be available to attend to ESO business;
- Attend at least 80% of Board meetings;
- Serve on the Strategic Planning Committee
- By mutual agreement, assume duties requested by the President
- Perform any other duties that may be prescribed by the Board of Directors.
Secretary
The Secretary is responsible for taking minutes of the Board meetings, sending them out in draft form for Board members for additions and corrections, then sending the amended minutes out prior to the next Board meeting. The Secretary may also be asked by the Board to write certain letters necessary to carry on Board business.
Treasurer:
The Treasurer is the chief financial officer of the ESO. The Treasurer is responsible to maintain financial records and accounts, and to work with other board and committee members to accept revenues and meet expenses. The Treasurer is a member of the Finance committee and works with that committee to develop and implement finance policies and planning.
